This privacy policy governs your use of the software application "Mod MRZ Reader" (later referred as the/this "Application") for mobile devices that was created by Aktif Bilgi İşlem San. Tic. Ltd. Şti.
The Application is a mobile application intended to be used within a hotel by staff to optically scan the Machine Readable Zone (MRZ) printed on passports and identity cards during the guest registration process, and to forward the parsed data to the hotel's own guest registration system.
The Application does not require any user account registration. The only User Provided Information used by the Application consists of: a license key entered at activation; the configured server endpoint URL for the hotel's guest registration system, which is provided to the Application via the license.
The license key and the server endpoint URL are stored locally on your mobile device, within the Application's private storage area, following platform security best practices.
The Application requests access to the device camera (with your permission) for the sole purpose of optically reading the Machine Readable Zone (MRZ) printed on passports and identity cards. The camera is used only at the moment a scan is initiated by the staff member. The Application does not store, save, upload, or transmit any photos, images, or video of documents. Only the structured text fields parsed from the MRZ are processed and used.
The structured fields parsed from the MRZ may include: surname, given names, document number, document type, date of birth, sex, nationality, issuing country, date of expiry, and (for Turkish identity cards in TD1 format) the T.C. Kimlik Number from the document's optional data field.
The Application does not automatically collect any analytics, advertising identifiers, device identifiers, usage telemetry, crash reports, or other diagnostic data. The Application does not include any third-party analytics SDKs or advertising networks.
After a successful scan, the parsed MRZ fields are transmitted over an encrypted HTTPS connection to a server endpoint owned and operated by the hotel that has licensed the Application. This server endpoint is an instance of Mod Hotel Software, a property management system also developed by Aktif Bilgi İşlem San. Tic. Ltd. Şti., which is self-hosted by each hotel on the hotel's own infrastructure. Aktif Bilgi İşlem San. Tic. Ltd. Şti. does not operate, host, or have access to this destination server. Aktif Bilgi İşlem San. Tic. Ltd. Şti. does not receive a copy of any scanned guest data through the Application.
The hotel that has licensed and deployed the Application is the data controller for any guest data scanned through it, in accordance with the Turkish Personal Data Protection Law (KVKK, Law No. 6698) and, where applicable, the EU General Data Protection Regulation (GDPR).
In addition to the transmission to the hotel's own server described above, the Application makes two limited network connections to servers operated by Aktif Bilgi İşlem San. Tic. Ltd. Şti.:
Neither of these connections transmits scanned guest data.
The Application does not collect any information about the location of your mobile device.
Aktif Bilgi İşlem San. Tic. Ltd. Şti. does not sell, rent, share, or otherwise disclose scanned document data to any third party. The destination of every scan is the hotel's own self-hosted Mod Hotel Software server, which is the explicit and intended purpose of the Application.
The Application does not include any analytics SDKs, advertising networks, or third-party tracking libraries.
You can stop all further collection of information by the Application easily by uninstalling the Application. You may use the standard uninstall processes as may be available as part of your mobile device or via the mobile application marketplace or network.
The Application retains a local history of recent scans on the device, in the Application's private storage area, used so staff can review recently-scanned guests and retry failed transmissions. This local history is automatically deleted according to a retention window configurable in the Application. Failed or pending records are retained until they can be retransmitted or manually cleared by the staff member. Uninstalling the Application removes all local data.
Data retention at the hotel's destination server is governed by the hotel's own data retention practices and privacy policies, and is outside of the scope of this Privacy Policy.
Data subjects (the individuals whose documents were scanned) wishing to exercise their rights under KVKK or GDPR (right of access, correction, deletion, objection, etc.) should direct their requests to the hotel that performed the scan, as the hotel is the data controller. If you are unable to identify or contact the hotel, you may contact Aktif Bilgi İşlem San. Tic. Ltd. Şti. at the address below and we will help direct your request to the correct party.
The Application is intended for use by hotel front-desk staff during guest registration. It is not directed at or intended for use by children. Documents scanned during the registration of minors traveling with parents or legal guardians are processed in the same manner as documents for adults, under the responsibility of the hotel.
We are concerned about safeguarding the confidentiality of your information. Data transmitted from the Application to the hotel's server uses HTTPS (TLS) encryption. License validation also uses HTTPS. The Application does not store images of documents on the device, only the parsed text fields. Local scan history is stored in the Application's private storage area, accessible only to the Application itself under the operating system's permission model.
Please be aware that, although we endeavor to provide reasonable security for information we process and maintain, no security system can prevent all potential security breaches. In order to ensure optimal security, you should regularly install any Application updates available from the mobile application marketplace, and keep your device's operating system updated.
This Privacy Policy may be updated from time to time for any reason. We will notify you of any changes to our Privacy Policy by posting the new Privacy Policy at the same URL where this policy is hosted, and updating the "Last updated" date at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes, as continued use of the Application is deemed approval of all changes.
By using the Application, you consent to the collection and use of information in accordance with this Privacy Policy. The processing and storage of scanned guest data at the hotel's destination server is subject to the consent obtained by the hotel from the guest under the hotel's own data handling procedures, in accordance with KVKK or GDPR as applicable.
